Executive Assistant to the CEO/Founder The Donovan’s Venom Remote | Executive Office | Volunteer Location Requirement: This is a remote volunteer role; however, candidates must be based in the United States or Canada due to operational, legal, and time zone alignment requirements. We are seeking an Executive Assistant to the CEO/Founder to help ensure that leadership operates with focus, structure, and execution. Because when the CEO is aligned — everything moves faster. The Role This role serves as a trusted partner to the CEO, ensuring priorities are managed, communication flows, and execution happens. You are not just scheduling meetings. You are managing time, priorities, and alignment at the highest level. You operate at both a tactical and strategic level, allowing the CEO to focus on high-impact decisions while you ensure everything else runs with precision. What You’ll Own Executive Calendar & Priority Management

  • * Manage and optimize the CEO’s calendar
  • Align time with organizational priorities
  • Anticipate conflicts and proactively resolve them

Executive Communications

  • * Serve as a key point of contact for internal and external communication
  • Draft and manage:
  • Emails
  • Announcements
  • Executive messaging
  • Ensure timely, professional, and clear communication

Meeting Coordination & Support

  • * Coordinate leadership and executive meetings
  • Prepare agendas and materials
  • Capture action items and ensure follow-through
  • Keep meetings structured and outcome-driven

Strategic Initiative Support

  • * Track CEO-led initiatives and priorities
  • Ensure alignment and progress across teams
  • Help drive accountability and execution

Cross-Functional Coordination

  • * Act as liaison between CEO and:
  • Executive team
  • Department leaders
  • Ensure communication flows clearly across the organization

Executive Operations & Organization

  • * Maintain organized documentation:
  • Strategic plans
  • Reports
  • Key communications
  • Build structured workflows for executive operations

Confidentiality & Information Management

  • * Handle sensitive information with discretion
  • Maintain trust and professionalism at all times

Event & Engagement Coordination

  • * Support planning of:
  • Town halls
  • Leadership meetings
  • External engagements
  • Ensure logistics and follow-through

Reporting & Tracking

  • * Track deadlines, deliverables, and key priorities
  • Provide updates and summaries to the CEO
  • Maintain visibility across initiatives

Process Improvement & Efficiency

  • * Identify inefficiencies in executive workflows
  • Build systems to improve organization and execution
  • Support scalable executive support processes

Qualifications

Required

  • * 3–5 years in executive support, administrative, or coordination roles
  • Experience supporting senior leaders preferred
  • Strong organizational and time management skills

Preferred

  • * Experience in nonprofit or mission-driven environments
  • Experience working in remote teams
  • Strong writing and communication skills

Commitment

  • * 10–15 hours per week
  • Flexible schedule (with responsiveness to executive needs)
  • Fully remote
